Filming and Event Planning

Filming or Holding Events in the Town of Woodstock

 

We are happy you want to film or hold your event in our town. 

Event = march, rally, concert, performance, bike/foot races, larger scale events, etc., on town property, or on private property with an attendance/production that will impede pedestrian and/or vehicle traffic and will therefore require traffic flow/control.

Contact the Supervisor's office at 845-679-2113 x 17. Depending on the size of the shoot/event, the length of time, and the desired location it is best to contact the Supervisor's office. The Supervisor and Town Board will work within your schedule whenever possible. The larger scale the event, the more lead time required. Lead time is critical. Please contact the Supervisor's office a minimum of three months prior to your event.

Rental and Other Fees: There are rental fees for the use of Town buildings, for example the rental of the Community Center on Rock City Road, and Town Hall on Tinker Street. The Town Clerk keeps the schedule and collects the fees for facilities rentals. A fee may also be required to cover the costs of extra Police coverage, garbage removal, etc.

Insurance: Insurance and proof of insurance are required for all events. 

Safety & Insurance Committee meeting: In order to meet insurance and safety requirements we require at least one meeting with our Insurance & Safety Committee before the start of filming/date of your event. Larger events require more lead time and more meetings. Insurance & Safety meetings are held once a month, generally on the fourth Thursday at 9:00am in the Supervisor's Office, 45 Comeau Drive, Woodstock.

Mass Gathering Permit/Packet: We also require that you/your company complete a Mass Gathering Permit application by accessing the Woodstock Mass Gathering Packet and filling out the Applicant pages. The other pages of the packet will be filled out by others in the Town of Woodstock. Any filming/event on private property also requires permission of the property owner. A Mass Gathering Permit/Packet can be emailed to you from the Supervisor's Office or accessed from this website page in the document entitled Woodstock Mass Gathering Packet.

Please note that some of the contact information, including the phone extensions, in the Woodstock Mass Gathering Packet have changed. Add a 1 in front of the extensions listed. For example, when calling 845-679-2113: Supervisor's office ext 17, Town Clerk's office ext 14. All emails plus the Town website now end in .gov, for example the website is now woodstockny.gov.
